It is always a considerable expenditure of time and resources for the HR department: The printing and sending of income tax certificates or salary slips.

Our self-service app enables your employees to call up these and other certificates independently. There are no costs for printing and shipping.

Call up DEUEV-notification directly in SAP

DEUEV is the German abbreviation for what is roughly translated as “Data acquisition and transmission regulation”. This regulation governs, among other things, the reporting procedure between the employer and the social insurance carrier.

Your employees receive a DEUEV-notification on various occasions. Examples are the registration and de-registration or interruption of employment subject to compulsory insurance. More notification cases. DEUEV-messages can be called up and forwarded at any time in the Self-Service App.

Would you like further certificates or evidence in the Self-Service app for your employees? This is also not a problem: Any number of different types of forms that are available in your SAP HR system can be integrated.

You will receive DEUEV-notifications on various reporting occasions. These include registration, de-registration, or the interruption of employment subject to insurance. You will receive your first DEUEV-notification when you start working with your next salary statement.
Other types of reporting include, for example, annual reports, reports for one-off wages, or when correcting reports. There are other notification types for the DEUEV.

DEUEV is the German abbreviation for what is roughly translated as “Data acquisition and transmission regulation”.

The following content must be included on the income tax certificate:

  • Period of employment of the employee
  • Taxable total fees
  • Withheld church tax, wage tax, and contributions for the solidarity surcharge
  • Contributions to statutory pension insurance, health insurance, long-term care insurance, and unemployment insurance
  • Short-time allowance
  • Bad weather money
  • Winter loss allowance
  • Grants (such as maternity allowance)
  • Tax-free benefits

You will receive the income tax certificate (usually in the form of a PDF) electronically or by post. You can get this in a variety of forms, e. g. by the HR department or directly from your employer. Our Self-Service app offers another option for provision.

You will receive the salary statement every month from your HR department or directly from your employer, depending on the arrangement. When exactly you receive the monthly salary statement differs from company to company.

As with the income tax certificate, the HR department can provide the salary statement in our Self-Service app.

According to the Commercial Code, the employer must keep the salary statement for 6 or 10 years. §41 EStG provides for a retention period of 6 years for wage accounts. A retention period of 10 years applies to wage documents that are also used to determine profits.

In the case of private individuals, there is no legal obligation to keep wage documents. However, it is advisable not to destroy them and still keep them until retirement age.

According to the trade regulations, the employee is to be given a written statement upon payment of the wages. The payslip is a document that documents in text form how the employee’s salary is made up. This also serves as proof of income for the tax return, the search for accommodation, or when granting a loan.
